Here at Prebble Associates Ltd (PAL) we take your privacy seriously and will only use your personal information to administer and provide the services requested of us. PAL has set up all the correct processes and security to ensure that they comply with the General Data Protection Regulations (GDPR) which came into force on 25th May 2018.

Statement of Service

PAL is an agency for psychologists and psychotherapists. We provide psychological reports and therapy treatment for clients of solicitors. We hold your data in compliance with GDPR regulations and to provide the service requested.

The Data Controller at PAL is the person responsible for personal information held by PAL. The Data Subject is the individual client’s data we hold. The Data Processors are our Associates (Psychologists and Psychotherapists) who manage the data on a day-to-day basis.

Clients

We hold your personal information to enable us to fulfil contracts with our solicitor clients, maintain our own records and accounts and support and manage our Associates. Personal information can be collected and processed for the following purposes:

• Providing psychological reports and/or therapy treatment
• To provide updates and information that assists and enhances our services

Who do we share your information with?

Your personal information will be held by PAL but in order to fulfil our contract your personal information may be shared with a solicitor client or an Associate. We may, in the interests of your personal safety, share information with your GP or other appropriate health care professional.

PAL will only collect the relevant information necessary to carry out the services we offer. The information we collect may be obtained electronically, verbally through a telephone conversation, through related documentation or from our website. The information we collect will consist of:

• Name and address
• telephone numbers and email addresses
• GP and medical records
• proof of ID

Marketing activities

We do not market clients.

Solicitors

Why we hold your data

For the purpose of fulfilling our contract with you, maintaining our own records and accounts and to support and manage our Associates. Personal information can be collected and processed for the following purposes:

• Providing psychological reports and therapy treatment for your clients
• To provide updates and information that assists and enhances our services
• Act on any regulatory or statutory requirements
• Marketing

For the purpose of fulfilling our contracts your contact details, and those of your client, will be shared with the instructed Associate Psychologist or Psychotherapist.

For the purpose of fulfilling our contracts with you, and those of our solicitor clients, maintaining and managing our own records and accounts and supporting Associates. Personal information can be collected and processed for the following purposes:

• Providing psychological reports and therapy treatment
• To provide updates and information that assists and enhances our services
• Act on any regulatory or statutory requirements
• Marketing

Who do we share your information with?

For the purpose of fulfilling our contracts your contact and professional details will be shared with our solicitor clients and their clients (the Data Subject).

• professional details (CVs and web information)

How we process your information

Your personal information will only be used for the purpose for which it has been given to PAL. Your data will not be kept any longer than is reasonably necessary. Your data will be destroyed in a secure manner.

How we store your information

Your personal information is hosted securely within the UK. When it is necessary to share your information,to fulfil our contracts, PAL uses One Drive Office 365 and encrypted documents. We take all reasonable steps to ensure that your information is protected as if we hosted it ourselves.

Individuals Rights

All data subjects have rights which are listed below:

• the right to be informed
• the right of access
• the right to rectification
• the right to erasure
• the right to restrict processing
• the right to data portability
• the right to object
• the right not to be subject to automated decision-making including profiling

All requests for information have to be given to the data subject within one month. You may give your permission to withdraw your consent at any time.

Data Retention

All data related to psychological reports and therapy sessions following the settlement of an adult’s claim will be held for 7 years.

All data related to psychological reports and therapy sessions of a child or young person’s claim will be held until the age of 25 and not destroyed before 7 years from settlement of the claim.

All data related to accounts will be held for 7 years.
